Student Hotel Accomodation -- Roommate Assistance:

To help students identify other students who may be interested in sharing a room at the 2014 American Control Conference hotel, we will compile the information and share with the interested students.

Respond with the requested information on http://rain.aa.washington.edu/Group_Members/Mehran_Mesbahi/ACC_2014_Roommate_Finder by April 25th, 2014.

The information will be compiled in a tabular form and will subsequently be made available to all who have submitted the requested information. It is your responsibility to contact prospective roommates and to make the hotel arrangements. Individuals should conduct their own appropriate inquiries or screenings. AACC, AIAA, AIChE, ASCE, ASME, IFAC, IEEE, ISA, SIAM, SCS, and the members of the Organizing Committee assume no responsibility for your arrangements.

Student Best Paper Award

The 2014 ACC is pleased to announce a Student Best Paper Award. All primary, first-listed authors of a regular contributed paper who were students at the time of submission are eligible. The deadline for nominations was October 8, 2013.

Up to five finalists will be announced by the end of January 2014. Each finalist is required to present his or her paper at the conference to remain eligible for the Student Best Paper Award. Travel expenses including hotel, transportation, conference registration, and meals/incidental expenses (on a per diem basis) will be covered for the finalists to enable them to attend the 2014 ACC.

Student Travel Application Instructions

The 2014 American Control Conference Organizing Committee is pleased to provide partial travel support for students presenting papers at the 2014 ACC in Portland, Oregon, USA. The 2014 ACC thanks the generous sponsors who make this support possible.

The following three conditions are required for support:

  • The applicant must have been enrolled as a student at the 2014 ACC paper submission deadline (September 29, 2013).
  • The applicant must register for the conference and present a paper.
  • The applicant must not submit expenses that are being reimbursed from other sources.

Application for student travel support must be made by February 24, 2014. Applicants will be notified of the outcome on or about March 7, 2014.

The amount of support will depend on available funds and the number of applicants. Students should not register for the conference until they have been notified of the outcome of their application. Once the application is approved, the student will be required to register using the prepaid Student Gratis registration status. Please note that the ACC 2014 Organizing Committee will NOT reimburse full registration for student participants and will only support prepaid Student Gratis registration.

The application process is as follows:

  1. Download and complete the application form: pdf or MS-word.
  2. Go to Paperplaza and click on Submit a Contribution to 2014 ACC.

Scroll down to the Student Travel Award Application, and hit Submit. Upload and submit the completed application from Step 1.

You will receive an e-mail confirmation that your application has been received. If you do not receive confirmation within 48 hours, contact Prof. Mehran Mesbahi (by email at mesbahi@uw.edu), ACC 2014 Vice Chair for Student Affairs. In early March you will be informed whether you are eligible for the support, and the maximum amount of funding available to you.

Unfortunately the 2014 American Control Conference may not be able to reimburse all of your travel expenses. Currently, we expect that up to a maximum of $300 USD will be reimbursed to individual students for hotel and transportation costs in addition to the prepaid Student Gratis registration. In the case where the student participant pays for the conference full registration, only hotel and transportation costs up to the maximum of $300 USD will be reimbursed. Please note that reimbursements will be given in the form of bank checks in US dollars, no exceptions.

Reimbursement will be made AFTER completion of the conference, upon receipt of all required documentation, except the prepaid Student Gratis registration fee, which will be handled directly through Paperplaza. Details will be sent to you in the support approval letter.

Funds for this travel support have been generously provided to the 2014 ACC by a number of organizations, and the Committee appreciates these contributions. The overall level of support will not depend on the funding source and the specific reimbursement process and reporting requirements may differ. If your application is successful, you will receive instructions for obtaining the final payment at the same time you receive your notification of eligibility.

 

Student Travel Reimbursement Process

The reimbursement process for student attendees whose travel application had been approved is as follows:

  1. Fill out the reimbursement from (WORD) (PDF)
  2. Gather your travel receipts, scan your paper receipts if necessary, and combine them with the reimbursement form (as the first page) as a single pdf file named "your last name_your first name_pin#_ACC2014.pdf"
  3. Email the combined pdf file to Eric Schoof (email: eschoof@uw.edu) with the subject line "ACC2014 Student Travel Reimbursement"

Please submit the reimbursement form and receipts as soon as possible and no later than June 27th, 2014. Student travel awardees are instructed to cash the reimbursement checks by December 31, 2014, as these checks will be voided afterwards.

Note: If you have received the $300 reimbursement on your conference hotel invoice upon checkout, you still need to submit the reimbursement form and your hotel receipt for our book keeping purposes.
